Police Record Check

Who needs a Vulnerable Sector Check (VSC)?
Every volunteer aged 18 or older must hold a valid "Police Records Check:  Level 3 -- Vulnerable Sector Check (VSC).  This includes convenors, executives, coordinators, coaches, managers, trainers, etc.

How to apply for my Vulnerable Sector Check (VSC)? 
To begin the online application, go to Police Record Check. The VSC can be completed online if you meet certain conditions.  You will need a copy of the CHA Volunteer Waiver Letter (September 2023 edition) ​with your name and your volunteer position added.  Print the letter, add your name and position, and then upload the letter when you are completing the application.   

When does my VSC expire? 
Your VSC is valid at CHA for 3 hockey seasons.  It expires on August 31 of the 3rd hockey season. If you do not remember when you obtained your last VSC specific to Canterbury Hockey, you can log in to your police check account to find out: Police Record Check (ottawapolice.ca)    You can also ask the Canterbury Director of Risk and Safety.

Is my VSC transferable from one organization to another?
No, unfortunately, the Vulnerable Sector screening checks are only valid for the specific employer/position for which it was conducted due to the potential Ministerial disclosure.  

Where do I send my completed VSC?
Send an electronic copy of the completed VSC to the Director of Risk and Safety.  CHA does not retain copies of VRCs due to privacy issues. It is important that you retain the original copy for your files. 

Cost and Refund:  In some cases, there is a processing fee of $20.  This will be reimbursed for volunteers that were pre-approved by their coordinator or convenor to be added to the team roster.  Complete the Volunteer Reimbursement form and send a copy of the PRC receipt (electronically please) to vpfinance@canterburyhockey.ca     CHA will not refund VSCs for every single parent, but only for the volunteers who are pre-approved, because there are restrictions on the number of volunteers permitted on each team roster. The CHA also pays the cost of insurance for each volunteer. 

PRC Exempt Volunteers
Volunteers that are under the age of 16 and meet HEO's definition of On-Ice Helper are not required to complete the PRC process.  HEO on ice helper policy: Hockey Eastern Ontario -  Policies
